SCHEDULES & LEAVE

Create working-hour policies

Define reusable working hours and clock-in rules before assigning them to people.

What a policy does#

A policy is a reusable set of working hours and attendance rules. For example, Office hours may run Monday to Friday, while Morning shift supplies the hours for a dated roster. Creating a policy alone does not put anyone on a schedule.

Owners and admins can manage policies across the company. Managers are limited to their assigned branches and may need owner approval for changes.

Create and review a policy#

  1. 1

Open Company → Attendance policies → Policies.

  2. 2

Choose Create policy and give it a clear name.

  3. 3

Choose where it applies and the schedule type. Set the start time, end time and working days.

  4. 4

Review early clock-in allowance, late-arrival grace and maximum session length.

  5. 5

Review location requirements and maximum GPS uncertainty when location is required.

  6. 6

Save the policy. If owner approval is enabled for your manager role, track the proposal in Approvals before using the new policy.

Start with the policy name and schedule, then review the attendance rules below. Saving a policy is separate from assigning staff.Demonstration data · Hooteyes guide preview

Understand the time and location rules#

SettingMeaning
Early clock-in allowanceHow long before the scheduled start clock-in becomes available. Zero opens it at the start time.
Late arrival graceThe allowance applied before lateness is counted. It does not open the early clock-in window.
Maximum sessionThe limit used for automatic closure, measured from the actual clock-in. It is not the scheduled end time.
GPS uncertaintyHow precise the phone’s location reading must be. The branch itself controls the allowed distance from the workplace.
Continue down the form to review the rules before choosing Create policy.Demonstration data · Hooteyes guide preview

After changing a policy#

Review the people and rosters that use the policy. Recorded attendance keeps the rules saved with that session; editing a policy does not rewrite those historical snapshots.

Do not rely on the scheduled end time to clock staff out automatically. Staff should clock out when their work ends.

Keep going

Assign a regular scheduleUse a repeating policy for people who normally work the same days and hours.Create and maintain shift rostersSchedule dated shifts, understand overlap messages and keep the next roster period ready.Review manager schedule changesUse optional owner approval without mistaking a proposal for a live schedule.
